TITLE:  ADMINISTRATIVE ASSOCIATE

DEPARTMENT:  ADMINISTRATION

REPORTS TO:  DIRECTOR/DEPUTY DIRECTOR

JOB SUMMARY:

Provides administrative support to Director/Deputy Director and Board Members and serves as initial contact for the general public, candidates and campaigns 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides administrative support to Director/Deputy Director
  • Creates and maintains yearly election schedule, candidate/issue listing by election, elected officials list and county central committee lists
  • Receives requests for information and complaints, evaluates and resolves or refers to appropriate administrator or other staff member
  • Distributes candidate and issue petition forms and filing instruction/information 
  • Answers questions from candidates or political subdivisions regarding candidate and issue filing requirements and forms
  • Receives, reviews and processes candidate and issue petitions and prepares petitions for checking
  • Answers questions regarding tax levies, bond issues, initiative/referendum petitions, charter amendments, and local options
  • Completes required ballot documents regarding candidates and issues
  • Works with overlapping counties to report combined election results for reporting to the Ohio SOS
  • Proofreads ballot materials, ballot language, sample ballots and candidate information lists 
  • Prepares and submits election advertisements and legal notices for publication 
  • Coordinates and tracks public record requests 
  • Processes requests from the Ohio Division of Liquor Control 
  • Performs other duties as assigned

 

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • Be a registered and active voter of the State of Ohio
  • General knowledge of the function and duties of the Hamilton County Board of Elections
  • Ability to work both independently and part of a team
  • Basic knowledge of general office equipment and computers; specifically experience in Microsoft Office is preferable
  • Ability to work extended hours
  • Successful completion of a criminal background check

 

WORKING CONDITIONS

  • Sit for extended periods of time
  • Occasional standing, walking, stooping, kneeling or crouching
  • Repetitive movement of hands and fingers (typing and/or writing)
  • May be required to lift a maximum of thirty pounds
